Registration and Information Desk

The Registration and Information Desk is situated in Alma 2, Campus Social Sciences, Parkstraat 45, 3000 Leuven. Please follow the signage upon arrival at the venue.

When you arrive for the first time on the conference venue, you can pick up your conference badge at the Registration and Information Desk. Please note that it can be quite busy at the desk on Thursday 7 July and Friday 8 July from 08:00 – 09:00 am. So, to avoid long queues, we strongly advise you to pick up your badge in time.

The Registration and Information Desk will be open throughout the conference for any questions you may have. Please do not hesitate to come to the registration desk, we are happy to help!

If you are travelling, then it is possible to leave your luggage in storage at the registration desk. You can pick up your luggage any time during the opening hours of the registration desk.

Conference badges

All registered participants will be given a name badge upon registration at the registration desk. This badge is your official pass to the conference venue and the social activities. We kindly request you to wear your badge visibly on all conference occasions.

There are 4 poster sessions during the conference. They will take place at Alma 2. We request the authors of the poster to remove their poster according to the following instructions:

  • Thematic session 2, July 8th 11:30-12:00 am, posters must be removed before 03:00 pm 8 July
  • Thematic session 4, July 8th 05:00-06:00 pm, posters must be removed before 06:30 pm 8 July
  • Thematic session 6, July 9th 04:30-05:30 pm, posters must be removed before 06:30 pm 9 July
  • Thematic session 8, July 10th 11:30-12:00 am, posters must be removed before 03:00 pm 10 July

Presenters are responsible for their own posters. All posters should be removed as instructed. Posters that have not been removed will not be stored by the organization.

All presenters are asked to carefully read the instructions for presenters so that they are well prepared for the meeting.

Catering

Coffee breaks

  • All coffee breaks will be served in the Alma 2.

Lunches

  • Lunch will be served in Alma 2.
  • Lunch will be provided for participants during the whole conference.
  • If you indicated a specific dietary requirement during registration online, you will receive a tag to attach to your badge. Please wear this tag during lunches and ask the waiter for your alternative lunch. For vegetarians no alternative lunch is provided, since the standard lunch offers enough choices.

Sustainability

The Local Organizing Committee is fully committed to sustainability and has therefore made some choices that have an impact on several aspects of the conference. This means that there will be no printed program book. All information about the programs and the social activities will be provided via the special online conference application and on large posters in the reception area. We will continuously update all online information throughout the conference and will be able to communicate any changes or additions to the program immediately. Furthermore, we use a minimum of plastic. We offer exclusively vegetarian food and worked as much as possible with local providers. For drinks and food, we use reusable materials. Free water will be available, we will provide one reusable bottle per person. We do hope that you understand and support our choices.

Wi-Fi

We offer free Wi-Fi in all university buildings. The network to connect with is campusroam. Each participant will receive a personal login name and password. These personal login details can be found on the back of your name badge. Please note that these login details can only be used at one device at a time. Once you enter your login and password, you should be able to access the campusroam network.
Should you have an eduroam-account, you will be able to access the eduroam-network as well within the university buildings.

AUTOMATIC CONFIGURATION WITH THE CAT-TOOL

Should you experience any problems with the wifi connevtion, we advise you to use the CAT-tool to automatically configure the wireless networks campusroam and eduroam.
Download the tool from eduroam Configuration Assistant Tool. The tool does the complete configuration from scratch or adjusts existing configurations for pc, smartphone and tablet.
The campusroam-2.4 & eduroam-2.4 networks (for older devices) will not be configured with this tool. You will need to follow the manual configuration steps for these networks.
Should your device need additional information to connect, please follow the manual configuration info below:

Password: the password that you use for your KU Leuven-username (Don't forget to adjust this setting if you change the password of your username)

General COVID-19 measures

As of March 23, we can organize the meeting in person with no restrictions.
A Covid-19 certificate is no longer needed to enter the congress venues. Face masks are no longer mandatory in public transport, in the congress venues and restaurants/bars/shops in the city. A Passenger Locator Form (PLF) is no longer needed within the EU.

Travelling to Belgium

The Passenger Locator Form (PLF) must be filled in by everyone who, directly or indirectly, travels to Belgium from a country OUTSIDE the European Union or Schengen area that is not on the white list (which you can find here), by train, bus, boat or plane. The PLF document can be found here) and must be filled in maximum 48h prior to your arrival in Belgium. In all other cases, it is not mandatory.
If you need to take a COVID-19 PCR test in Belgium, please find an overview of the test centers on the conference website.
For a COVID certified antigen test, you can go to one of the pharmacies in the city center: e.g., Farma De Bond (Bondgenotenlaan 163), Apotheek Vandenbosch (Brusselsestraat 136), Multipharma 437 (Leopold Vanderkelenstraat 4).
